Woodston Personnel Ltd is delighted to partner with a newly established and rapidly growing GP practice based in Co. Carlow, who are now seeking an experienced Part time Administrative Assistant to join their team.
Working days: Wednesdays and Fridays
Key Responsibilities
Welcome patients and visitors in a friendly and professional manner.
Manage incoming calls, emails, and patient enquiries, providing information or directing queries appropriately.
Book, amend, and cancel patient appointments using the practice clinical system.
Assist patients with registration, form completion, and access to online services.
Maintain accurate patient records and ensure confidentiality in line with practice policies and GDPR.
Process incoming and outgoing correspondence, including referrals, test results, and clinical documents.
Scan, file, and index documents into patient records.
Support prescription processing and repeat medication requests (non-clinical elements).
Update practice information, templates, and noticeboards as required.
Handle tasks assigned by GPs, nurses, or managers in line with competency and role boundaries.
Follow practice policies, including safeguarding, confidentiality, data protection, and health & safety.
Participate in team meetings and contribute to continual improvement of practice processes.
Support seasonal or project-based tasks (e.g., flu clinics, data quality projects).
Provide cover for colleagues during periods of absence or high demand (where possible).
Collaborate with administrative teams across the organisation to ensure integrated, patient-centered service delivery.

Job requirements
Minimum 1 year previous experience of working in a GP practice/primary care setting.
Experience using the Socrates IT System in a healthcare setting.
Strong communication and interpersonal skills.
Good IT skills, including experience with emails, calendars, and office software.
Ability to work accurately, prioritise tasks, and manage time effectively.
Friendly, professional manner with a focus on patient care.
Ability to maintain confidentiality and follow policies.
